June 26, 2024 Breakfast Meeting Notes

Today’s meeting was a club forum.

The 50/50 was won by Lora, who gave the money to Tom.

For the card game, Erica: won the chance to draw but pulled the king of hearts. The game continues.

Tony and Russ were absent so we began with a Rotary minute: Rotary limits terms of office to 1 year. This promotes leadership development and overall participation. This also supports inclusivity and allows broader participation of club members while helping prevent burnout.

Thanks to all who attended the Changing of the Guard.

We reviewed minutes of last Friday’s board meeting. Ken and Steve reviewed the financials. Beth and Alicia will meet tonight to go over this year’s budget. We have a few outstanding bills from the Changing of the Guard and some deposits pending. If anyone needs to be reimbursed for expenses for the club please use the reimbursement form. This form used to be on our web site; it is temporarily unavailable with the website renovations that are going on but it will be up again. In the meantime, contact Mike if you need a copy. Mike and Beth are continuing to work with Margaret on the website.

Lora compiled the results of the visioning sessions. We had 12 people on Thursday night and 3 on Saturday.

On July 10 we will have a fireside chat with Will Hanna, who owes the Karate school on Tenney Mountain Highway and is a prospective member.

July 6 is the Fun Fair and a signup shift will be passed around. Please sign up! We will also have cruise night to raise money for drivers’ ed scholarships. There will be a fall food truck festival and the town is looking for people to help with it; Alicia is recommending that Rotary be on their committee but we do not want to take this all on as a project. There will be a meeting about the food festival on July 11 at 11 am at the amphitheater; Erica will attend and anyone else who wants to is welcome. We will not be able to be the fiscal agent for this festival.

Finally, Trish and TIGER reached out to us for $3000 to repair their van. They must keep their budget at zero at the end of each year and so they have no money in reserve for this sort of an expense. The board felt that this was something we would not normally do, especially this close to the end of our fiscal year. We voted to give her $1500 and we asked her to go to Meredith Rotary for the rest. Then Steve volunteered to put up $1500 of his own money. Trish also offered to give a free performance of their one-man show for Rotary to use as a fundraiser next year so we will recoup some of this money. Trish has sent us a thank-you note for our support.

RYLA update: The Rotary Youth Leadership Academy was held this past weekend, with a total of 61 students attending. Four young women from our area were there and they will speak to us about it in a few weeks. The rain held off for their outdoor activities. The weekend went well, without any anxiety or meltdowns from the kids. Unfortunately we had no students from Quebec attend. RYLA is for those moving up to junior year in high school. It gives students a chance to build up their confidence and form new relationships. Students were encouraged to develop projects for their community. We take suggestions from Paul Ference at the high school; he looks for students who have a lot of ability but don’t use it. Participants this year can become RYLA coordinators and junior or senior counselors the following years. Photos from the event are on our Facebook page; Steve will get them and put up on our Foundation page.

Mike gave Erica’s current year theme pin.

Alicia spoke on the visioning sessions. We had great input from the community. Connectedness and transportation were the big needs in the area, along with some smaller ones. We will meet again in August to work further on this. See a committee member if you are interested in helping.

Budget process: Beth and Alicia will meet tonight to finalize the budget. They are reviewing the last 3 years’ worth of budgets and will work out what we do going forward. Admin committee will meet to review the budget and then go before the board to get it approved. If you have any ideas, please let the committee know. We do plan to continue committee work; the board members will be the chair of the committees. The committees should meet once a month. Members should think about whether they want to continue on the same committee or sign up for a new one next week.

Happy dollars were shared by Mike, Denise, Steve, Walter, Beth, Alex, and Erica.

Marathon Fest will be held on Friday and Saturday, Oct 4 and 5, to help support the NH Marathon. All proceeds will go to Circle, Mayhew, and Tapply Thomson programs. Erica plans to develop a map of the area to try and keep the 600 participants in the marathon in our area rather than going to Concord, Meredith for lodging.

TIGER will have show this Saturday at the Monkey.

Respectfully submitted,

Lora Miller, secretary
